E-invoicing from Stripe: setup guide
How the Invoiceer app turns your Stripe invoices into XRechnung, ZUGFeRD and Peppol e-invoices, and what you need to set up. Takes about five minutes.
What you get
| Your customer | E-invoice created |
|---|---|
| Germany | XRechnung (UBL XML) or ZUGFeRD (PDF with embedded XML, EN 16931 profile). You choose in your settings. |
| Belgium, or any customer with a Peppol ID | Peppol BIS Billing 3.0 |
| Other countries | Skipped for now (status "skipped"). More countries follow as their mandates start. |
Every e-invoice is validated with the official rule sets (KoSIT for XRechnung, CEN EN 16931, OpenPeppol BIS 3.0) before it is marked valid. Credit notes become e-invoice credit notes that reference the original invoice.
1. Install the app
Install Invoiceer from the Stripe App Marketplace and approve the permissions. The app reads finalized invoices, customers, tax rates and credit notes, and writes only the e-invoice status into each invoice's metadata. It changes nothing else. After approving you land on your Invoiceer account page, already signed in.
2. Add your company details
On the account page, enter the details that appear on every e-invoice as the seller:
- Required: company name, street, postcode, city, country, VAT ID and billing email.
- Recommended: IBAN and BIC (for payment by bank transfer), payment terms, company registration number, contact person and phone.
- Optional: your Peppol ID. If you leave it empty, your VAT number is used as your electronic address.
Without an IBAN, the e-invoice says "pay online" and includes the link to the Stripe hosted invoice page.
3. Check your customer data in Stripe
- Name and billing address with country. The country decides the format.
- VAT ID as a Stripe customer tax ID of type EU VAT. It is required for reverse-charge invoices, and for Belgian customers it also gives their Peppol address (0208 + enterprise number).
- Peppol ID (optional, for customers outside Belgium on Peppol): add customer metadata
peppol_id, e.g.0208:0123456749. Find any company's ID with the free Peppol lookup. - Email: the customer email is used when e-invoices are sent by email.
Tax IDs are copied onto an invoice when it is finalized, so add them before you finalize.
4. Finalize invoices as usual
Within seconds of finalizing, the e-invoice is created and validated. You see the result in three places:
- the E-invoice panel on the invoice in your Stripe Dashboard, with a download button;
- the invoice's metadata:
einvoice_status(valid, invalid, error, skipped or limit) andeinvoice_url; - your account page on Invoiceer, which lists every e-invoice and explains errors in plain language.
5. Sending (optional)
You can download every e-invoice and send it yourself, or switch on automatic sending in your settings:
- Peppol (Belgium and Peppol customers): sent through our certified Peppol access point partner. You complete a one-time identity verification of your company first ("Set up Peppol sending" on the account page).
- Email (German customers): the XRechnung XML plus a readable PDF, or the ZUGFeRD PDF, goes to the customer's email from
[email protected]in your company's name, with replies going to your billing email.
Invoices in Stripe test mode are never sent to anyone.
6. Fixing errors
If an e-invoice isn't valid, the account page says what is missing, for example a customer without a Peppol address or company details that are incomplete. Fix it in Stripe or in your settings, then click Process again next to the document.
Plans
Free for up to 5 e-invoices a month. Starter €9/month for 50, Pro €19/month for 300; paying yearly gives two months free. Over the limit, documents get the status "limit" and are processed automatically as soon as you upgrade. See pricing.
Data and privacy
Invoiceer is run by GetInput Oy, an EU company. Invoice data is processed on our server in the EU (Finland). See the privacy policy. Uninstalling the app in Stripe revokes our access immediately.
